Posted Job Title Publicity and Exhibits Coordinator Job Profile Title Administrative Assistant B Job Description Summary The Publicity and Exhibits Coordinator will represent the Press to the public by working closely with authors, customers, vendors, and other clients. This position is responsible for planning, preparing and managing marketing and sales at approximately 40 scholarly conferences and exhibits per year, in consultation with acquisitions staff and the rest of the marketing and sales team. In addition, the position will coordinate publicity efforts for all book titles and journals in the Penn Press imprints. Will report to director of sales and marketing and join a department staff of 5. Job Description Job Responsibilities Publicity coordination: Generate review lists for all books, including correspondence with authors and outlets; Fulfillment, correspondence, follow up/tracking review copy requests. Correspond with authors to coordinate, track, support book events. Process incoming reviews, including reading for pull quotes, logging in the title management system (Biblio), and sharing to our social media channels. Top-market pitching for trade titles, including pre-publication publicity, producing and distributing galleys, and media outreach. Create and execute unique exhibit plans for all frontlist titles. Coordinate our attendance and participation in scholarly conferences and exhibit halls; order and ship books from the warehouse to show sites; order, maintain, ship, and track exhibit supplies, implement online virtual exhibits; collaborate with exhibit service vendors and conference organizers. Clerical tasks such as managing budgets and monitoring/approving invoices and payments related to exhibits. Supervise work study students. Perform additional duties as assigned. Qualifications High School Grad/GE Degree and 3 to 5 years of experience or equivalent combination of education and experience is required. Bachelor's degree preferred. 2-3 years of experience related to publishing, bookselling, or non-profit marketing, or equivalent combination of education and experience, are preferred. Excellent written and verbal communication skills are required. Experience with Microsoft Word, Microsoft Teams, Zoom, and Microsoft Excel is required. Knowledge of Biblio and/or other book title management systems preferred. Must be able to communicate clearly, concisely, correctly, and tactfully with authors, editors, and colleagues.
