Job Description

Position Title: Coordinator of Grants and Data Management.
Department: Development.
Reports To: Director of Development.

Position Summary:

We are seeking a Coordinator of Grants and Data Management to play a vital role in advancing our mission through securing essential grant funding and ensuring the accuracy and integrity of development data. This position is responsible for researching and submitting compelling grant proposals, managing reporting requirements, and maintaining a comprehensive and up-to-date grants calendar. The Coordinator will also oversee the integrity of donor and funder records, support fundraising reporting needs, and provide data-driven insights to enhance strategic development initiatives. The ideal candidate will have a strong eye for detail, excellent communication skills, and a passion for supporting impactful fundraising efforts.

Key Responsibilities:

  • Research and identify grant opportunities that align with Sunshine Cottage’s mission and strategic goals.
  • Write, edit, and submit high-quality grant proposals, letters of inquiry, and supporting materials on schedule.
  • Serve as the technical writer for the Development Department, providing editing, revising, formatting, and quality control for all written materials.
  • Apply technical writing skills to develop clear, consistent, and compelling narratives, reports, funding requests, and donor communications.
  • Manage a comprehensive grants calendar, tracking deadlines for submissions, reports, and renewals.
  • Maintain organized records of grants, funder history, donor information, and submissions in the CRM database.
  • Collaborate with program, finance, and clinical teams to gather accurate data and outcomes for grant writing and reporting.
  • Analyze and interpret data to create strong grant narratives, impact reports, and internal reporting tools.
  • Develop and maintain templates, tracking tools, and dashboards to streamline grants management and data reporting.
  • Assist in donor stewardship efforts by preparing acknowledgment letters, impact updates, and funder communications.
  • Assist with the drop-off and pick-up process to ensure the safety, efficiency and smooth transition of students, while enforcing school policies and communicating effectively with parents and guardians.
  • Perform other duties as assigned.

  • Proficient in Microsoft Office Suite and familiar with graphic design software (e.g., Adobe Creative Suite, Canva).
  • Experienced in social media management, email marketing platforms (e.g., Mailchimp, Constant Contact), and website content management systems (CMS).
  • Skilled in analyzing marketing and engagement metrics and using CRM systems for donor and stakeholder outreach (e.g., Salesforce, Bloomerang).
  • Strong organizational skills with the ability to gather information, prioritize tasks, and manage multiple concurrent projects.
  • Excellent written and verbal communication skills, with the ability to craft compelling messaging and strong public speaking/presentation abilities for media, events, and community outreach.
  • Ability to collaborate effectively across departments and build strong relationships with stakeholders.
  • Creative problem-solving, storytelling, and engagement strategies to enhance visibility.
  • Strong organizational skills, attention to detail, and ability to manage multiple projects with adaptability in handling PR challenges.
  • High level of professionalism, emotional intelligence, maintain confidentiality, and ability to work effectively in a team-oriented environment.


Education:

  • Bachelor’s degree in a relevant field such as Nonprofit Studies, Public Administration, Journalism, or a related field required.


Experience:

  • Candidates should have 3-5 years of successful grant writing experience, with a demonstrated ability to secure funding from foundations, corporations, or government sources.
  • Experience in office and administrative management, highly proficient in Microsoft Office suite, experience with Blackbaud, Raiser’s Edge, and Raiser’s Edge NXT, and proficient with database management and data entry.

Physical Demands:

While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hand to finger, handle or feel; reach with hands and arms; talk; hear and have good vision. The Employee must regularly lift and/or move up to 30 lbs. Ability to work occasional evenings, weekends, and travel off-site which may require driving, transport and set up materials.
