Description
Job Summary: The Accounting Assistant is responsible for assisting the Accounting Supervisor in the daily operations of EPU's business. Primary responsibilities of the position include processing accounts payable and supporting accounts receivable and invoice preparation. The position may also assist with other general administrative duties as needed to support the functioning of the administrative team.
Essential Functions: - Process all the accounts payable for the organization. This includes but is not limited to:
- Reviewing invoices for accuracy.
- Ensuring invoices have the appropriate approval.
- Confirming invoices have the accurate coding for department classifications and general ledger accounts.
- Enter all invoices with accurate information into the G/L.
- Ensure payments are scheduled and processed based on payment terms and due dates.
- Obtain appropriate signatures on the checks and mail the checks out with all appropriate supporting documents.
- Ensure ACH items are entered and cleared in accounting software when they clear the corporate bank account.
- Make ACH payments as needed or directed.
- Scan and compile supporting documentation from AP for invoices submitted to various funding sources monthly and quarterly.
- Manage, maintain, and organize accounting documents and files (both electronically and physically).
- Prepare a quarterly schedule for sales tax accrual for invoices that do not include sales tax.
- Prepare and file annual 1099 forms.
- Maintain master vendor log and addition/deletion of authorized users for pre-approved vendor sites.
- Prepare assigned journal entries on a monthly basis. Ensure that reversing entries are posted as needed.
- Process agency bank deposits through the remote terminal or at a local branch as needed.
- Process Positive Pay items as needed and verify the corporate bank account exception item list daily by 10 am.
- Prepare and manage schedules to track grant expenditures as assigned.
- Manage corporate credit card receipts and the integration into the accounting system to ensure all charges are posted to the appropriate accounts.
- Maintain, manage, and process child/family records and information in a confidential manner that meets HIPAA and other applicable confidentiality regulations.
- Adhere to EPU standards, policies, and procedures.
- Position requires reliable transportation to run various errands on behalf of EPU, such as bank deposits, vendor pick up, etc.
- EPU facility hours are Monday-Friday, 8:00 AM - 5:00 PM, with some exceptions based on business needs. Position hours may vary on occasion depending upon the needs of the business.
- Must perform other duties as assigned by the Accounting Manager, Chief Financial Officer or President/Chief Executive Officer.
Requirements
Knowledge, Skill, and Experience: Education: Position requires a High School diploma or equivalent. An associate's degree or higher is encouraged but not required.
Skills: Must have strong communication skills, both written and verbal, and be able to make independent decisions within guidelines and follow the code of ethics.
Experience: - 3+ years' experience in the area of accounts payable, accounting, or other related fields.
- Must be computer literate, working with QuickBooks or similar accounting software and Microsoft Office Products.
- Must hold a valid California Driver's license and have a good driving record with no serious violations for the previous two-year period and be able to provide proof of current automobile liability insurance.
Physical Demands: Typical Working Condition: Position works the majority of the time at the EPU facility. The position requires the ability to sit and work on a computer for extensive periods. Position requires fingering (fine dexterity), repetitive hand and wrist motions.
Equipment Used: Computers, printers, telephones, and other various office equipment. It is necessary to operate a vehicle for local travel on occasion.
Essential Physical Tasks: Must be able to sit for long periods, working with a keyboard and a computer screen.

Salary Description
$20.00 - $24.00 per hour DOE Exceptional Parents Unlimited, Inc.
